CourtFlow Help — Payments & refunds
CourtFlow supports several different payment methods depending on how each club or organiser chooses to operate.
Some clubs use fully online payments through Stripe, while others may still use:
- Cash payments
- Bank transfers
- Manual invoicing
- Payment on arrival
The available options will vary between sessions, tournaments, and court hire bookings.
Online payments
Many clubs use Stripe to securely process online card payments.
When enabled, players can usually:
- Pay during registration
- Receive immediate booking confirmation
- See payment status on their booking or session page
CourtFlow itself does not store your card details.
Payments processed through Stripe may support:
- Credit cards
- Debit cards
- Mobile wallet payments (depending on device/browser support)
Manual payments
Some clubs prefer to handle payments themselves outside CourtFlow.
In these cases, organisers may use:
- Cash collection
- Bank transfer
- EFTPOS at the venue
- Manual invoicing
CourtFlow may still display:
- Pricing information
- Booking details
- Payment status
Even when payment is handled separately.
Payment status
Depending on how the organiser manages the event, you may see statuses such as:
- Paid
- Unpaid
- Waived
- Pending
- Manual payment required
Some organisers may manually mark players as paid after receiving payment outside the platform.
Session cancellations and credits
Some sessions may allow players to:
- Cancel their registration
- Receive session credit
- Transfer credit to a future session
This depends on how the club or organiser has configured the session.
Some clubs may also set sessions to:
- No refunds
- No cancellation credits
- Cancellation cut-off times
These rules are controlled by the organiser and may vary between clubs and events.
Refunds
Refund policies are controlled by the individual club or organiser.
Depending on the setup, organisers may offer:
- Full refunds
- Partial refunds
- Session credits
- Booking credits
- No refunds after a certain date
If a cash refund is required, this is generally handled directly by the club or organiser rather than through CourtFlow.
Platform and payment processing fees
Online payments may include:
- Stripe payment processing fees
- CourtFlow platform fees
These fees help cover:
- Online payment processing
- Booking infrastructure
- Platform operation costs
Platform and payment processing fees are generally non-refundable once a booking or payment has been processed.
Waived payments
Organisers may waive payment for certain players or bookings.
This is commonly used for:
- Volunteers
- Club organisers
- Coaches
- Guest players
- Complimentary sessions
Waived players may still appear as confirmed participants.
Failed payments
Occasionally, online payments may fail due to:
- Insufficient funds
- Card issues
- Bank security checks
- Expired cards
- Temporary connection problems
If this happens:
- Double-check your card details
- Try again
- Contact your bank if required
- Reach out to the organiser if the issue continues
Court hire payments
Court hire payments work similarly to session payments.
Depending on the venue setup:
- Payment may happen immediately online
- The club may invoice you separately
- Payment may be collected manually
Booking confirmation behaviour may vary depending on the payment method used.
Tournament and rumble payments
Tournaments and rumbles may use:
- Individual player payments
- Team payments
- Manual payment handling
- Online Stripe checkout
The organiser will usually provide payment details on the event page.
Security and privacy
Online payments are securely processed through Stripe.
CourtFlow does not store:
- Full card numbers
- CVV codes
- Sensitive banking information
